Managing Tenants

Track tenant contact info, lease terms, and move-in/out dates. Each tenant has their own ledger for payments and charges.

Adding a tenant

  1. In the property tree, right-click a unit or single family home.
  2. Choose Add Tenant.
  3. Enter first and last name and tap Save.
  4. Fill in the remaining details on the tenant page.
Multiple tenants per unit: You can add more than one tenant to a unit (e.g., roommates). Each has their own ledger and contact info.

Selecting a tenant in the tree opens their detail page with five tabs.

Tenant fields

FieldDescription
First / Last NameRequired. Shown in the tree and on reports.
EmailUsed for document delivery (future feature).
Phone / Phone 2Contact numbers.
Move-in DateThe date the tenant physically moved in.
Move-out DateSet when the tenant leaves. Stops recurring charges automatically.
Lease Start / EndThe legal lease period. Used in lease-expiry reports.
NotesFree-form notes visible only to you.

KPI strip

The colored cells at the top of the tenant page give a quick summary:

Tree status indicators

Each tenant node in the tree shows a color badge:

overdueHas charges past their due date with an unpaid balance
currentCharges exist for this month and are paid or not yet due
dueThis month's charges are posted but not yet paid

Moving a tenant out

  1. Open the tenant detail page.
  2. Set the Move-out Date.
  3. Save. Recurring charges stop automatically on that date.

After move-out, the tenant stays in the tree as inactive. Use Show inactive in the tree to see past tenants. Their full payment history is always preserved.

Do not delete tenants with history. Use move-out date to mark them as gone. Deletion is permanent and removes all ledger records.

Finding a tenant quickly

Use the Tenants filter toggle in the tree toolbar to show only tenant nodes across your entire portfolio, sorted alphabetically. This makes it easy to find a specific tenant without navigating the full tree.
